Total cost of ownership (TCO)

Complete cost of acquiring, operating, and maintaining a product or service.

Definition

Total cost of ownership is what you actually pay over the life of a tool or vendor — purchase, implementation, training, support, and the cost of switching later. The sticker price is only the first line. Founders use TCO to compare build versus buy, and cheap software that needs a team to run it.

How the word shows up in a real conversation.

A ₹2 lakh CRM looks cheaper than a ₹6 lakh one until you add a contractor, two months of import work, and a failed WhatsApp integration. TCO made the “expensive” tool the cheaper decision.

Formula

TCO = purchase + implementation + operating cost + switching cost − residual value

Common mistake

Comparing list prices and calling it diligence. If you skip implementation and people-time, you are not measuring TCO.
